Understanding the Salary Slip Generator
The Salary Slip Generator creates a clean, professional salary slip (payslip) that you can print or save as a PDF. You enter the company and employee details, then list the earnings and deductions for a given pay period, and the tool arranges everything into a standard payslip layout with an automatic net pay total. It is useful for small business owners, HR and accounts staff, freelancers, and employees who need a formatted record of their pay. Everything runs in your browser: the figures you type are never uploaded to a server, and nothing is stored after you close the page. This is a document generator that formats the numbers you supply. It is not payroll software or tax advice.
How it works
A salary slip has two main sections. EARNINGS lists gross pay components such as Basic salary, House Rent Allowance (HRA), Dearness Allowance (DA), Conveyance Allowance, Special Allowance, and any bonuses. DEDUCTIONS lists amounts withheld, such as the employee Provident Fund or EPF contribution (commonly 12% of Basic), Professional Tax (a state levy), TDS or income tax, and ESI where applicable. The tool adds up each column separately to give Gross Earnings and Total Deductions, then subtracts one from the other to show Net Pay, the take-home amount. You fill in your own figures for each row and can add, rename, or remove components to match your structure. When the layout looks right, you print it or save it as a PDF. The tool does not calculate tax, PF, or statutory rates for you.
Worked Example
Suppose an employee's monthly earnings are: Basic 25,000, HRA 10,000, Dearness Allowance 5,000, Conveyance Allowance 1,600, and Special Allowance 3,400. Gross Earnings = 25,000 + 10,000 + 5,000 + 1,600 + 3,400 = 45,000. Deductions are: employee EPF at 12% of Basic = 3,000, Professional Tax = 200, and TDS = 1,500. Total Deductions = 3,000 + 200 + 1,500 = 4,700. Net Pay = 45,000 - 4,700 = 40,300. The slip shows both columns side by side with these totals and the final take-home figure of 40,300 for the pay period.
Tips & Common Mistakes
- Confirm your EPF, Professional Tax, ESI, and TDS figures against your own payroll records or HR, since rates and caps vary by salary, state, and company policy.
- Include the pay period (month and year) and the employee ID so each slip is a clear, standalone record.
- Keep earnings and deductions as separate line items rather than a single lump sum, so the slip is easy to read and verify.
- Check that Gross Earnings minus Total Deductions matches the Net Pay before you save, especially after adding or editing rows.
- Save each month's slip as a PDF with a consistent file name such as employee-name-2026-07 so records stay organised.
- For official use such as loan or visa applications, issue the slip on company letterhead with an authorised signature, as this tool only formats the figures you enter.

Frequently Asked Questions
What details are needed to generate a salary slip?
You need company name and address, employee name and ID, designation, department, date of joining, pay period (month and year), working days, and the salary components — earnings (basic, HRA, allowances) and deductions (PF, professional tax, TDS). PAN and GSTIN are optional.
How do I download the salary slip as PDF?
Click "Print / Download PDF". A new window opens with the formatted salary slip. In the print dialog, select your PDF printer (e.g., "Save as PDF" on Chrome/Edge, or "Microsoft Print to PDF" on Windows). Set the paper size to A4 for best results.
How is the Provident Fund (PF) calculated?
Employee PF contribution is typically 12% of basic salary. If basic salary exceeds ₹15,000/month, PF is calculated on ₹15,000 — so the maximum employee PF deduction is ₹1,800/month. Many companies calculate PF on the actual basic without the cap; check your company policy. You can edit the PF amount directly in this tool.
What is Professional Tax (PT)?
Professional Tax is a state-levied tax on employment. The amount varies by state and salary slab. In Karnataka, the standard PT is ₹200/month. In Maharashtra it is also ₹200/month for salaries above ₹10,000. Some states (e.g., Delhi) do not levy PT. Edit the amount to match your state's slab.
Is this salary slip legally valid?
The slip generated by this tool is formatted to include all standard components and can be used as a reference or internal record. However, for official purposes (loan applications, visa applications, background verification), salary slips should be issued on company letterhead with authorised signatory and stamp. Always consult your HR department for official documentation.
Can I add custom allowances or deductions?
Yes. Use the "+ Add earning" and "+ Add deduction" buttons to add any row with a custom label and amount. You can also rename or remove any existing row. The net pay updates instantly.
